What we collect
- Your account: email address, password (stored hashed), and the business details you enter — name, industry, hours, services, languages, greeting.
- Calls to your AI line: audio recordings, transcripts, and the details callers share (typically a name, phone number, and what they need). These exist so you get accurate summaries and can review any conversation.
- Your website, if you use "Read my site": we fetch its public pages once to draft your agent.
Why we collect it
To run your AI receptionist: answering calls as your business, capturing leads into your dashboard, booking appointments, and improving your agent's script. We don't sell data, run ads, or share information with anyone beyond the service providers described below.
Call recording & consent
Calls handled by your AI line are recorded and transcribed. As the business owner, you can have the greeting disclose this to callers — the wording is yours, and we recommend including it. You're responsible for using the service in line with the consent rules that apply to your business and province.
Who processes it, and where
We use established infrastructure providers to run the service, described here by what they do rather than by name (a public list of suppliers is an invitation to anyone probing the service). Each receives only what it needs for its part of the job, and most of it runs in the United States:
- A managed PostgreSQL database holds your account, business details, leads and transcripts (United States, US East).
- A real-time voice network routes live call audio, and the software that answers the call runs beside it (United States, US East).
- A speech-to-text provider turns what your caller says into text on English, French and Spanish lines (United States). Punjabi and Hindi lines use a specialist provider instead, because the general engines transcribe those languages badly (outside North America; named on request).
- A speech synthesis provider produces the voice your callers hear (United States).
- A large language model provider composes the replies (United States).
- Your own calendar provider receives the appointments booked for you, only if you connect a calendar; you authorise that connection and can disconnect it at any time.
- A static web host and CDN serves this website and your dashboard.
You can have the actual names. If you need our suppliers identified — for a security review, a procurement form, a vendor questionnaire or a privacy impact assessment — email support@affordableleadsgeneration.ca and we'll send you the current sub-processor list, what each one handles, and where it runs.
AI providers and model training
We're a founder-stage company running on developer plans from our AI providers, and on some of those plans the provider may use content passed through their API to improve their own models. We are moving to the paid tiers where that is contractually excluded, and we will say so here plainly the day it's done. Until then, don't let your AI receptionist handle health records, payment card numbers, or anything you'd be unwilling to have processed under a standard developer agreement. This is set out in more detail on our Security page.
Where your data is handled
As the list above shows, the service runs mostly in the United States, so your data, including call recordings and transcripts, is processed and stored there rather than in Canada. Canadian privacy law (PIPEDA) allows this and asks us to tell you, which is what this paragraph does: information held in another country can be subject to that country's laws. On Punjabi and Hindi lines, the call audio is also transcribed by a specialist provider outside North America. If you would like the provider names, their regions, or anything else about where your data sits, email us and we'll answer plainly.
Who at our end can see it
Your leads are locked to your user id by the database itself, not just hidden in the interface. Beyond your own account, the founder can access data when you ask for support or to fix a fault; and if your account was set up through a partner or reseller, the administrator assigned to it can see and update your business and your leads, limited by the same database rules to the accounts assigned to them.
Retention & your rights
Call records stay in your dashboard until you close your account or ask us to remove them. Under PIPEDA you can ask what we hold about you, get a copy, correct it, or have it deleted — including a particular call, lead or recording. Email support@affordableleadsgeneration.ca and we'll act on it promptly and confirm when it's done.
