An intake call missed is a retainer signed somewhere else

Someone has just been in an accident, or served with papers. They are frightened and they are calling down a list. The firm that answers is the firm that gets the file โ€” one recovered call can be worth more than a year of this.

What law firms actually get asked

She can answer these

In your caller's language, in your business's own words โ€” not a menu, not a voicemail.

โ€œDo you handle this kind of case?โ€
โ€œDo you offer a free consultation?โ€
โ€œWhat are your fees?โ€
โ€œHow soon can I speak to a lawyer?โ€
What you get back

The calls you are losing today

โœ“Intake taken 24/7, in the caller's own language
โœ“Consultations booked into the calendar
โœ“A full written record of what the caller said

What your caller hears

She reads your own services, prices and hours, so she answers the way you would.

Caller

I got rear ended on the highway last week. The other driver's insurance keeps calling me and I do not know what to say to them. Do you people handle that?

Your receptionist

The firm does take motor vehicle injury files. I am the receptionist here, so I cannot tell you what to say to an insurer or whether you have a claim. What I can do is take your details and book you in with a lawyer.

Caller

Am I signing up for anything by telling you all this?

Your receptionist

No. Giving me your details does not retain the firm and does not make anyone your lawyer. It books a consultation. The lawyer decides at that meeting whether they can take the file.

Caller

Okay, that is fair. What do you need from me?

Your receptionist

Your name, a number that reaches you, roughly when the accident happened, and whether you have seen a doctor since. Then a couple of sentences in your own words about what happened.

Caller

Ravi Sharma. It was last Tuesday, on the highway coming into town. I went to a walk in clinic after. This number is my cell.

Your receptionist

Thank you Ravi. You are booked in with a lawyer and I have texted you the confirmation. Your note goes to the office as soon as we hang up, so they read it before you sit down.

Hear one

A scripted demonstration for law firms, not a recording of a customer call: the business, the caller and any prices in it are made up, and the caller is voiced. What is real is the receptionist, and you can hear her live on the demo line above.

On every call

What she writes down

The caller's name and a number that reaches them, taken early so a short call still leaves a lead.
What kind of matter it is, in the caller's own words, not squeezed into a category.
Roughly when it happened, and who else is involved.
How urgent it feels to them, and the consultation she booked.

What law firms ask us

Will she give legal advice if a caller pushes her for it?

No. She takes intake and books consultations, nothing more. She will not say whether someone has a case, what a deadline is, or what to tell an insurer, and she tells the caller plainly that she is not a lawyer, in the wording you type in at setup. If they keep pushing, she notes the question and tells you about it afterwards.

Does a caller giving her their details mean we have taken them on?

No, and she says so on the call. Taking a caller's details is not retaining the firm and a booked consultation is not a solicitor client relationship. Your lawyer decides at the meeting whether the firm acts.

What happens when she does not know the answer to something?

She takes a message. She never invents a fee or a timeline, and she only reads the fees and answers you typed in yourself. After the call she tells you which question she could not answer, so you can add it and she has it next time.
